Privacy policy

Who we are
rcwebsites builds and hosts websites for everyday people and small businesses. The owner of rcwebsites is responsible for how your information is handled. Questions about this policy or your information: info@rcwebsites.com.
What we collect
- The quote form: your name, email address, business or project name, the plan and type of site you’re interested in, and anything you write in the message box.
- Emails you send us and our replies.
- If you become a client: the content for your site (text, photos, logo), your domain details, and payment confirmations. We see that a payment was made through PayPal or e-transfer. We never see your full card details.
- Technical information: like most websites, our hosting provider keeps standard server records (such as your IP address, browser type and the pages requested) to keep the site running and secure. To limit spam, the quote form also keeps a scrambled version of your IP address for a short count of recent submissions. It contains no name or email.
What we don’t do
- We don’t sell, rent or trade your information.
- This website doesn’t set cookies and doesn’t use analytics or advertising trackers.
- We don’t send marketing emails you didn’t ask for. We use your email to reply to you about your request or your site.
Why we use your information
- To reply to your request and give you a quote.
- To build, host, secure and update your website if you become a client.
- To bill you and keep the financial records the law requires.
- To protect the site from spam and misuse.
By sending us the quote form or an email, you agree we may use your information for these purposes. You can withdraw that agreement at any time by contacting us, though we may need to keep some records (see below).
Who else handles it
- Hostinger provides our website hosting and our info@rcwebsites.com mailbox, so your form submission and our emails pass through and are stored on their systems.
- Google Fonts: when a page loads, your browser requests our fonts from Google, which means Google can see your IP address. We don’t send Google anything else.
- PayPal or your bank process payments if you become a client.
- Other websites: our “Recent work” section links to other sites (such as countrycakes.ca and cerealboxink.com). They have their own privacy practices.
Some of these providers may store or process information on servers outside Canada, where local laws may allow authorities to access it. We only use providers that we believe take security seriously.
How long we keep it
- Quote requests that don’t go ahead: up to 12 months, then we delete them.
- Clients: while you’re a client, plus the time we’re required to keep invoices and payment records for tax purposes (currently up to six years).
- Your website content: while we host your site. If you cancel, we’ll give you a copy on request and then remove it from our systems as set out in your agreement.
Your choices and rights
You can ask us to show you what we hold about you, correct it, or delete it. Email info@rcwebsites.com and we’ll reply within 30 days. If we can’t fully agree to a request (for example, because the law requires us to keep a record), we’ll tell you why.
If you’re unhappy with how we’ve handled your information, please tell us first so we can fix it. You also have the right to contact the Office of the Privacy Commissioner of Canada.
How we protect it
Quote requests are stored in a private area that isn’t reachable from the web, access is protected by passwords, and the site uses an SSL certificate (the padlock). No system is perfectly secure, but if a problem puts your information at real risk of harm, we’ll tell you and report it as the law requires.
If we host your website
If you’re a client and your own site collects information from your visitors (for example, through a contact form), you’re responsible for how you use it and for having your own privacy policy. We’re happy to help you write a simple one.
Children
Our services are for adults and businesses. We don’t knowingly collect information from children.
Changes to this policy
If we change how we handle information, we’ll update this page and the date at the top.
